Our Commitment to You
At Traveling Turtle LLC, we’re passionate about creating transformative experiences that bring couples closer through adventure. We understand that life happens, and sometimes plans need to change. This policy is designed to be fair to both our clients and our business, as we often make non-refundable commitments to vendors on your behalf.
Customized Travel Packages & Vacation Experiences
Deposits & Payment Terms
- A non-refundable deposit of $500 per person (or 25% of total package cost, whichever is greater) is required to secure your booking
- This deposit covers our planning services and initial vendor commitments
- Full payment is due 60 days prior to departure
- Payments accepted: Credit card, debit card, bank transfer, or payment plan
Cancellation Policy for Travel Packages

⚠️ Travel Insurance Strongly Recommended
We highly encourage comprehensive travel insurance to protect your investment. It can cover cancellations due to illness, emergencies, and unforeseen circumstances beyond our control.
Changes & Modifications
Date Changes:
- First change: $150 per person administrative fee
- Subsequent changes: $250 per person administrative fee plus any price differences
- Must be requested at least 60 days before original departure date
Package Modifications:
- Changes to accommodations, activities, or destinations: Subject to availability and price differences
- Modification fee: $100 per change request
- No modifications accepted within 30 days of departure
Traveler Name Changes:
- $150 per person administrative fee
- Must be done at least 45 days prior to departure
Reconnecting Through Adventure – Couples Retreat (McCall, Idaho)
Investment & Payment
- $1,000 per couple non-refundable deposit required to secure your spot
- Final payment due 45 days before retreat start date
Retreat Cancellation Policy

Retreat Modifications
Date Changes: Transfer to a different retreat date (if available) up to 60 days before your scheduled retreat for a $300 per couple transfer fee.
Special Circumstances
Force Majeure & Unforeseen Events
If Traveling Turtle LLC must cancel or significantly modify your experience due to circumstances beyond our control (natural disasters, civil unrest, government travel restrictions, venue closures, etc.):
- We will work with you to reschedule at no additional cost
- OR provide a credit for 100% of amounts paid toward a future experience (valid for 24 months)
- OR refund any recoverable costs from vendors minus our administrative fees
We are NOT responsible for:
- Vendor bankruptcies or closures
- Travel delays or cancellations by airlines or other carriers
- Acts of nature, terrorism, or government actions
- Personal emergencies or illness (we strongly recommend travel insurance)
Medical Emergencies
We understand that medical emergencies are unpredictable:
- Documentation from a licensed physician may be required
- Refunds processed on a case-by-case basis
- We will work to recover costs from vendors and refund what is recoverable

Military Deployment
Active military personnel called to duty:
- Full refund minus any non-refundable vendor costs
- Military orders documentation required
- Alternative: Hold credit for future travel (valid 24 months)
Additional Important Information
Refund Processing
Timeline:
- Approved refunds processed within 14-21 business days of cancellation
- Refunds issued to original payment method
- Vendor refunds may take additional time depending on their policies
Documentation:
- All cancellation requests must be submitted in writing via email to: travelingturtlellc@gmail.com
- Cancellation date determined by when we receive written notice
No-Show Policy
If you fail to show up for your scheduled departure or retreat without prior cancellation:
- No refund will be provided
- No credit will be issued
- All payments are forfeited
Behavior & Conduct
Traveling Turtle LLC reserves the right to remove any participant whose behavior:
- Endangers themselves or others
- Disrupts the experience for other participants
- Violates local laws or regulations
- Is deemed inappropriate by retreat leaders or tour guides
In such cases: No refund provided. Participant responsible for their own return travel arrangements and costs.
